Create and maintain events

New staging website. Use https://beti.worldyogaalliance.org/admin/operations?view=events. These event controls are for the new staging administrator workspace.

Choose Operations → Events and bookings, then the Events tab, or open /admin/operations?view=events. The event list shows Event, Owner, Date, Bookings, Status, and Actions. Use Add event for a new event and Edit event for an existing one.

An event can be saved before it is approved. New events are pending until moderation, and the publication controls in the editor are separate from the Approve event action in the list.

  1. Select Add event.
  2. Choose Owner type: School or Teacher.
  3. Select the existing Owner.
  4. Enter Event title.
  5. Set Start date, End date, Start time, and End time.
  6. Enter Price, choose Currency, and set Participant limit if the event is limited.
  7. Choose Format: Online, Studio, or Accommodation.
  8. Complete Address or venue, Contact email, Contact phone, and Meeting URL as applicable.
  9. Add the event’s rich-text Description.
  10. Select Create event.

The owner must already be a school or teacher record. The form rejects a missing owner or title, a missing date/time, an end date before the start date, an end time that is not later for a same-day event, a negative price, more than two price decimals, or an invalid participant limit. The participant limit must be a whole number from 0 through 2,147,483,647; zero means no limit in the form’s validation.

The new event is not automatically public. Return to the Events list, inspect the details, then use Approve event when the moderation decision is complete.

Open an event and select Edit event. The support editor exposes these sections:

Fields are Subject, Start date, End date, Start time, End time, Price, Currency, Participant limit, Format, Email, Phone, Address, Region ID, Meeting URL, and rich-text Description. Select Save event and wait for the success message. Ownership remains unchanged in this editor.

Use Accommodation available, Check-in, Check-out, Accommodation details, and What to do in free time. Only describe accommodation or activities that the owner has confirmed.

The optional controls are Accept EYEP students, Accept CE students, EYEP student limit, CE student limit, and CE discounted price. When a program checkbox is selected, its limit must be at least 1. CE discounted price is nonnegative and accepts at most two decimal places.

The labels are Website URL, Facebook URL, Twitter URL, Instagram URL, YouTube URL, LinkedIn URL, and TikTok URL. Keep links pointed at the owner’s intended public pages.

The checkboxes are Visible in directory and Recommended event. Recommended event does not override moderation. Use Approve event / the corresponding moderation action in the list to change the event’s approval state.

Use View public event after saving. Use Edit SEO to open the matching CMS target (Event with the event ID) and follow Content, SEO, and translations.

The event support page includes Event facilities, Event options, and custom options. These are event-specific selections; reference values are maintained separately in Configuration or System → reference data.

  1. Under Event facilities, choose a Facility or leave Choose a facility until a value is selected.
  2. Add optional Notes (up to 2,000 characters).
  3. Check Highlight facility if it should be emphasized.
  4. Select Add facility; edit existing rows with Save facility or remove them with Remove.

Choose Option / Choose an option, enter optional notes, and select Add option. Existing rows use Save option and Remove. The page can show an extra details notice when the selected option requires more information.

  1. Enter a required Name (up to 200 characters).
  2. Add an optional Description.
  3. Set a nonnegative Display order.
  4. Select Add custom option; use Save custom option or Delete custom option for existing rows.

The Event instructors section allows up to 10 instructors. Choose Instructor type: Custom instructor or Linked teacher.

  • For a custom instructor, enter Custom name.
  • For a linked teacher, use Search teachers, choose Teacher / Choose a teacher, and use Previous teachers and Next teachers when paging results.
  • Add an optional Biography and Display order.
  • Use Upload instructor image (optional) for a JPEG, PNG, WebP, or GIF and Remove instructor image to remove it.
  • Select Save instructor or Delete instructor.

Confirm whether the instructor is a WYA teacher or a guest before choosing the type. A linked teacher should not be duplicated as a custom instructor.

  1. In Event image gallery, enter Title, Description, and Display order.
  2. Choose Primary image when this image should represent the event.
  3. Choose a file under Image file or Replace image (optional).
  4. Select Upload image for a new row or Save image for an existing row.
  5. Use Delete image only after confirming the file is no longer needed.

The first uploaded image becomes primary automatically. Choosing another primary image clears the previous primary flag. Confirm the upload and metadata success messages before leaving the page.

From the Events list, use Approve event after checking the owner, dates, price, capacity, links, and public preview. Use the matching unapprove action when an approved event must return to moderation.

The delete confirmation distinguishes booked and unbooked events. Deleting an event with bookings archives the event and removes its media; deleting one with no bookings deletes the event and media. Treat delete as irreversible and prefer the visibility controls when the business need is to stop public display.

Correct the field named in the message and submit again. A save can be rejected when the owner or reference value is stale, deleted, or no longer valid. Reload the event before retrying when another administrator may have edited it. If the event saves but remains absent from the public directory, check Visible in directory, the approval state, and the public preview separately.
