Events: choose the right WYA version

This section covers the complete event workflow: finding an event, booking it, managing your own booking, creating or editing an event, reviewing attendees, cancelling, and requesting an organizer payout.

WYA currently has two event interfaces. Follow the section that matches the site you opened.

The current/new interface is the staged website. The legacy interface is the production website. These links identify the intended environment and page; this guide does not claim that every protected hosted screen was tested. Staging has no access wall, but protected actions still require a WYA account and session.

Use the current/new Events Directory when you are testing the new staging website. Its account menu includes My event bookings, Event Bookings, and Event payouts. The current editor uses sentence-case labels such as Basic information, Student programs, Media, and Facilities.

Use the production Events Directory for the production website. Its navigation exposes Directory, Events Directory, and the signed-in menu item Event Bookings. The legacy editor uses title-case labels such as Basic Information, Programs, Media & Content, and Facilities.

English routes are shown below. The current frontend can add a locale prefix when you choose another language, for example /th/event/123.

  • A visitor can open Events Directory and a public event page. A visitor must sign in before submitting a booking.
  • A signed-in member can book an available event, pay when the event requires payment, and use the current/new My event bookings workspace. The production website does not have that /bookings page in the legacy event flow.
  • A school owner or teacher owner with a WYA profile can open Add event, edit an owned event, and review its bookings. Both school and teacher organizers are supported by the current event editor.
  • Staff or administrators have wider permissions. The member and organizer guides below do not describe administrative screens.
  1. Create an event — create a school- or teacher-owned event and complete all four editor steps.
  2. Edit an event — update an owned event, including the renewal rules for an expired event.
  3. Book an event — book as a signed-in member, complete payment when shown, and understand the booking result.
  4. Manage your bookings — find your booking, read its status, and request cancellation.
  5. Manage attendees — filter bookings, open attendee details, approve, reject, or delete a record.
  6. Cancel and refund — understand member, organizer, payment, refund, and cancellation-window behavior.
  7. Event lifecycle and payouts — follow approval, availability, completion, and manual payout stages.

The placeholders below are intentional. Replace {eventId} with the numeric event ID shown by the event page or link.

On production, /manage/event-bookings opens Manage Your Events. Choose View Bookings on an event row to open /manage/event-bookings/{eventId}. The current/new website can also open the selected event directly.

Before booking, open the event page and check its dates, format, organizer, price, location or meeting link, available spots, and contact information. WYA accepts a booking only when the event is active, approved, not already started, and has capacity. A second active booking for the same member and event is rejected.

Before creating or editing, sign in and make sure the account owns a school or teacher profile. The editor blocks an account without one of those profiles. An organizer can manage only events owned by that school or teacher unless the account has staff permissions.
