Cancel an event booking and understand refunds

Cancellation affects the attendee, the organizer, and any payment or payout record. Check the booking status and payment state before choosing an action.

  1. Sign in and open My event bookings.
  2. Find the event and choose Cancel booking.
  3. Read Cancel this booking? The organizer will be notified.
  4. Enter Cancellation reason (optional) if useful.
  5. Submit the cancellation. The button shows Cancelling... while it runs.

WYA allows a member to cancel their own booking only before the cancellation deadline shown for that booking. The exact policy can vary, so follow the message on the page. When the deadline has passed, the page shows The free-cancellation period has ended.

The event must also be cancellable: it cannot already be cancelled, and the event or payment state must still allow the operation. If the event has started, WYA does not treat the booking as an ordinary free cancellation.

WYA handles a successful Stripe payment during an allowed member cancellation as follows:

  • If Stripe accepts the refund, the page shows Booking cancelled. Stripe accepted a refund of {amount}. Your bank may take some time to post it. The bank posting time is outside the WYA booking screen.
  • If the booking had no payment to refund, the page shows Booking cancelled. No automatic refund was recorded.
  • If Stripe cannot create the refund, WYA does not complete the cancellation and the page shows We could not cancel the booking. Please try again. Retry only after checking the booking state.

If a booking shows Payment review required, follow A refund or dispute needs review. Do not pay again; contact WYA support. A member should not create another booking or pay again to solve that warning.

An owner can open Bookings for an event and choose Reject for an attendee. WYA treats the owner action as an organizer cancellation and records the booking history. It can refund a successful Stripe payment when the refund rules allow it; review the result and payment columns after the action.

An organizer can also see Delete, but WYA rejects deletion for paid or already cancelled bookings. Use the cancellation or rejection action so that the booking and payment history remains available. If a payout request is already requested or paid, cancellation can be blocked and requires administrator review.

The attendee can be notified by WYA. The organizer should still communicate any event-specific change directly when necessary.

The production organizer flow starts at Manage Your Events. Choose View Bookings for an event, then use Approve or Reject on a pending booking. The routed production page does not show Delete, Details, or a Confirm Action dialog; the eye button opens Booking Details.

The production page does not show the current member My event bookings cancellation control or a Stripe refund screen. Do not promise a self-service production refund from that interface. Use the current/new workflow when the screen actually shows Cancel booking and a refund result, or contact WYA support for the production record.
