Manage event attendees and bookings
This guide is for a school or teacher organizer. You can review bookings only for an event owned by your school or teacher profile unless your account has staff permissions.
New staging website
Section titled “New staging website”Sign in at Login. Open Event Bookings from the account menu, or choose Manage bookings on an event that you own.
- Event booking management lists your events.
- Bookings for one event opens the selected event; replace
{eventId}with its numeric ID.
The page heading is Event bookings management and the introduction is Keep track of bookings across your events and approve or reject attendees.
If you arrive at the event overview first, the heading is Manage your events and the introduction is Review your upcoming and past events, then jump into bookings when you are ready. Use Event overview, Search with the placeholder Search by event name, Start date from, Start date to, Status, All statuses, and Reset filters. The table columns are Event, Start date, End date, Status, Bookings, and Actions. Choose View bookings or Review bookings for the event you need.
Select and filter the event
Section titled “Select and filter the event”- In
Choose event, select an event fromPlease select an event. - Review the event information:
Event,Date,Location, andPrice. - Use
Search by name or emailto narrow the list. - Use
All statusesto filter by booking status. - Choose
Refreshwhen you need current data.
The summary displays Total bookings, Pending, Confirmed, and Cancelled. The table columns are Customer, Email, Participants, Status, Payment, Organizer payout, Booking date, and Actions.
Inspect attendee details
Section titled “Inspect attendee details”Choose Details in a row. The modal is titled Booking details and can contain:
Customer information:Customer name,Email, andCustomer phone;Booking information:Status,Payment,Organizer payout,Booking date,Booking ID, andReference;- event location:
Location,Region, andCountry; Booking participants; andSpecial requirements.
If the attendee provided no requirement, the page shows No special requirements. If the detail request is still loading, it shows Booking details loading....
Approve, reject, or delete
Section titled “Approve, reject, or delete”- For a pending row, choose
Approvewhen you accept the attendee. WYA changes it to an active confirmed status and can notify the attendee. - Choose
Rejectwhen the organizer cannot accept the booking. WYA treats this as an organizer cancellation; it preserves the booking history and follows the cancellation/payment rules. - Choose
Deleteonly for a record that WYA allows you to delete. Paid or already cancelled bookings cannot be deleted; use the cancellation action to preserve the history.
The current page may render these actions as icon buttons, but their accessible labels and titles are Details, Approve, Reject, and Delete. After a mutation, refresh the list and reopen Details to verify the status and payment state.
Important messages include The booking status could not be updated., We could not cancel the booking. Please try again., The booking could not be deleted., and Payment review required. A payment warning says A refund or dispute needs review. Do not pay again; contact WYA support.
Production website
Section titled “Production website”Open Event Bookings from the signed-in profile menu. The production path first opens Manage Your Events.
Choose the event
Section titled “Choose the event”- Choose
Refreshif you need to reload the list. - In
Event Overview, reviewShowing {count} events. - Filter with
Searchand the placeholderSearch by event name,Start Date from,Start Date to, andStatus. - Choose
Reset Filtersto clear the filters. - In the table, review
Event,Start Date,End Date,Status,Bookings, andActions. - Choose
View Bookingsin the row for the event you need.
View Bookings opens /manage/event-bookings/{eventId} and the Manage Event Bookings page for that event. Use Back to Event List to return to Manage Your Events.
Review and update bookings
Section titled “Review and update bookings”On the selected event page, review its date, location, price, status, and booking count. Choose Refresh to reload bookings. Use Search by name or email and All Statuses to narrow the list. The booking table shows Customer, Participants, Status, Booked On, and Actions.
The customer cell includes the attendee name, email, and phone when provided. Choose the eye button in Actions to open Booking Details. The detail view contains Customer Information, Name, Email, Phone, Status, Booked On, Reference, Participants, and Notes.
For a pending booking, choose Approve or Reject. The page reports Booking approved successfully, Booking rejected successfully, or Could not update booking status. after the action. This production page does not show the current Payment and Organizer payout columns or a Delete action.
Organizer checklist
Section titled “Organizer checklist”Before replying to an attendee, open Details on the current/new website or the eye button on production. Verify the booking reference, participant count, status, and special requirements. On the current/new website, also check the payment and organizer-payout fields. If a record shows Payment review required, stop the payment decision and contact WYA support or the authorized administrator.
